Keep control after distribution

Live Alerts on Document Status

Notify previous verifiers when a certified document's status changes.

Documents and emails can remain in circulation long after certification. Certidox lets the certifier revoke a certification after distribution and choose to alert people who previously scanned its QR code.

Those previous verifiers who have enabled Certidox smartphone notifications will receive the alert if the certifier selects the notification option. The document itself remains unchanged, and its certification can later be reactivated.

Keep people informed after distribution. A change in certification status need not go unnoticed by previous verifiers.

Actual Certidox screens

From the back office to a smartphone alert

These real Certidox screens illustrate the workflow in order. The iPhone notification concerns a different demonstration document from the power of attorney shown in step 1.

Change the certification status

In the Certidox back office, the certifier locates the relevant document and switches its status from Active to Revoked.

Choose whether to notify previous verifiers

The Revoke document dialog opens with an optional field for the reason.

To alert previous verifiers, the certifier selects “Notify all users who scanned this document that its status has changed” before selecting Revoke.

Sending notifications is optional. The alert goes to previous verifiers who have enabled Certidox smartphone notifications, not to everyone holding a copy.

The previous verifier receives the alert

Previous verifiers who scanned the document's QR code and enabled Certidox notifications on their smartphones will receive an alert when the certifier chooses to send one.

The real notification shown here reads: “A document has been revoked.” It comes from a separate Certidox demonstration document, not the power of attorney in step 1.

The process works both ways

Revocation is reversible

A revoked certification can be reactivated through the same back-office status control. The certifier can again choose to notify previous verifiers who enabled smartphone alerts. Reactivation does not change the original certified content.

Practical situations

When live alerts matter

Power of attorney

An authority is withdrawn after copies have circulated. People who verified the earlier authorization can be alerted.

Payment instructions

Previously certified bank details are withdrawn or replaced. Prior verifiers can be warned not to continue relying on them.

Certified business email

Instructions sent in a certified email are cancelled. A status change can warn people who previously verified the message, without attempting to recall it.

Academic credentials

An academic credential is withdrawn or replaced after it has been shared. Prior verifiers can be alerted that its certification status has changed.
