CERTIDOX CASE STUDY / CONTRACTS & PURCHASE ORDERS

A Hearing Simulation Using Certidox

Two Extra Checkboxes Selected Without Your Knowledge.$100,000 More to Pay.

Two versions of the same Order Form.

Two disputed checkmarks.

An extra $100,000 in annual fees for options you never ordered.

THE NEUTRAL'S MOCK FINDING

ApexGrid prevails on the disputed options.

The certified A+B election is supported. Southbridge's claim that Options C and D were later selected is not reliably established.

See why the Neutral reached that conclusion

Simulation only. All parties and events in this case are fictional. The Neutral's determination is an illustrative, unsigned draft, not a judgment or a decision rendered at a real hearing.

Two Checkboxes Can Change a Contract

We check boxes on order forms, agreements and purchase orders every day. Each selection can authorize a service, an additional payment or a new contractual obligation.

How can you prove which boxes were checked in the version you actually agreed to? A familiar signature or convincing-looking copy is not proof that every selection remained unchanged.

CERTIFIED REFERENCE, EXHIBIT 05$100,000Service A + Option B, per year

TWO ADDITIONAL SELECTIONS+$100,000Option C: $45,000 + Option D: $55,000

The question is not which document looks more credible. It is what the independently verifiable record supports before someone relies on the disputed selections.

Compare the Two Order Forms

Both supplied exhibits concern the same parties and Order Form number. Exhibit 05 shows Service A and Option B selected. Exhibit 07 also shows Options C and D checked. The additional checkmarks are disputed.

Both complete original PDFs are now included. The comparison shows page 1 and page 2 of each Order Form, with the original exhibits available to open and download. The images are faithful renderings of those PDFs.

How the Dispute Developed

The supplied case-study narrative describes the following chronology on September 24, 2026. Times are Chicago daylight time (CDT).

  1. SEPT 14
    Initial Order Form executed

Service A is selected. Options B, C and D remain available for later election under the contract.

  2. SEPT 24
    9:48 AM
    Election period extended

ApexGrid asks to extend the election window; Southbridge agrees to 5:00 PM CDT.

  3. 9:58 AM
    Certified A+B reference

Exhibit 05 records A+B with C and D unchecked. The narrative also describes a later certified email, Exhibit 04, supporting the A+B election.

  4. 12:44 PM
    Later C+D election alleged

An email, Exhibit 06, is presented as coming from Laura Bennett, with the disputed order form in Exhibit 07. Its provenance is contested.

  5. 5:54 PM
    Invoice and objection

A $20,000 mobilization invoice based on $200,000 in annual charges prompts an objection to the added options.

The case narrative distinguishes the 9:58:22 AM certification event from an independently recorded DigiStamp RFC 3161 time of 9:58:26.26 AM CDT. These are different timestamp facts described by the underlying materials.

What Can the Evidence Establish?

The original hearing archive now includes the complete exhibits, the parties’ joint stipulation, and the independent-verification reports and bundles. These support the following evidence assessment, without turning the fictional hearing into a real dispute.

  1. The certified A+B document can be independently reconstructed. Exhibit 16 reports the reconstruction of the certified Exhibit 05 PDF and its SHA-256 and RFC 3161 timestamp linkage. The original report and evidence bundle are provided below; their independent verification requires the requisite trusted timestamp chain.
  2. The certified email carries related attachment evidence. Exhibit 18 reconstructs the protected email-content representation for Exhibit 04 and reports attachment metadata linking it to Exhibit 05 under the joint stipulation. This is a structured certified record, not a recreated native .eml file or the actual attachment content.
  3. The alleged later email lacks an expected Certidox record. Exhibit 12 stipulates automatic certification of the relevant outbound mailbox and the completeness of the September 24 account history in Exhibit 21. That history contains no Exhibit 06 certification. Its absence must be evaluated in context and does not, by itself, establish fraud.

Independent historical evidence and a live certification status answer different questions. Check the exact certified content, date and current status before relying on a disputed document.

What Certidox Shows

These original demonstration captures show two separate kinds of information: a certification result for the A+B email, and the account's certification history. Neither image alone determines the authenticity of the disputed later message.

Exhibit 17: Certification Result

The screen identifies Laura Bennett as the certifier of a recorded email, together with the certification date and status at the time the screenshot was taken. This is a historical screenshot, not a live status check.

Exhibit 21: Account History

The account-history screenshot displays four records from the relevant day. No separate certification for the alleged later C+D email appears in this supplied view. This is account-history evidence, not a cryptographic verification bundle.

Both Sides Have an Argument

This is a fictional adversarial hearing, not a real court case. The issue is the evidentiary weight of the later email and disputed Order Form, not an automatic finding that someone forged a document.

ApexGrid, Customer: “The later election was never established.”

The A+B election has a certified reference. The later alleged email has no separate Certidox record or QR even though Laura Bennett's outbound mail was supposed to be automatically certified and the account history was stipulated complete.

Southbridge, Provider: “A later election was still possible.”

The deadline was extended to 5:00 PM. The disputed email is accompanied by a native email file, and a different document hash establishes difference, not fabrication. The absence of a certification does not, by itself, disprove a later agreement.

The question for the Neutral: how much evidentiary weight should the contested later email and Order Form receive when compared with the certified A+B reference and the complete stipulated account history?

THE MOCK DECISION / EVIDENTIARY ISSUE

The Neutral Sides with ApexGrid

On the question before the Neutral, ApexGrid's challenge succeeds. The evidence reliably supports its election of Service A and Option B. Southbridge has not established that ApexGrid subsequently selected Options C and D.

ESTABLISHED BY THE RECORD

$100,000 / year

Service A + Option B

The contemporaneous certified election in Exhibits 04 and 05 carries substantial evidentiary weight.

NOT RELIABLY ESTABLISHED

+$100,000 / year

Disputed Options C + D

The alleged later election in Exhibits 06 and 07 is not sufficiently supported by the evidentiary record.

Why the Neutral favored ApexGrid

  1. The certified A+B reference came first.

Exhibits 04 and 05 record the same election. The certified email and Order Form are linked by protected attachment-hash evidence, not just by matching descriptions.

  2. That reference can be independently examined.

Exhibits 16 and 18 support reconstruction and integrity checks of the certified records and verification of their manifest-hash links to independent timestamp evidence.

  3. The alleged later email has no expected certification trace.

Exhibit 06 purports to be an outgoing email from Laura Bennett. Under the parties' stipulation (Exhibit 12), every email sent from her ApexGrid corporate mailbox was automatically certified, but Exhibit 06 has no separate Certidox record or QR code.

  4. The complete stipulated account history reinforces that absence.

Exhibit 21 contains no certification corresponding to Exhibit 06. The disputed Order Form (Exhibit 07) does not independently establish who made the alleged later selection. These factors together make the claimed C+D election insufficiently reliable.

What this demonstrates about Certidox

The decisive point is not a QR code or a document merely marked "certified." Both sides can independently test the certified reference and its historical integrity evidence, then examine the separate certification history under the parties' stipulation. That gives the Neutral a stronger basis for evaluating competing claims.

What the Neutral did not decide: whether either disputed record was fabricated, who may have created or altered it, whether anyone committed fraud, or whether either party has civil or criminal liability. A later election remained contractually possible, but was not reliably proved here.

Mock adversarial hearing, simulation only. This unsigned illustrative draft is not a real court judgment, an arbitration award or a finding of legal liability.

Real-World Case: $10,417 in Disputed Options

New York | September 17, 2026 federal court decision

In Anderson v. MB NR Motors, a buyer alleged she was directed to sign and initial on a tablet without reviewing the sales documents. She later discovered $10,417 in add-on charges for maintenance, key replacement, theft protection and tire-and-wheel coverage. She also disputed a separate $3,600 service contract.

On September 17, 2026, a New York federal court allowed her fraud, deceptive-practices and credit-disclosure claims to proceed. It made no finding that fraud had occurred.

The lesson: A signature does not, by itself, establish which options a customer approved. Certidox can provide an independently verifiable record of the exact certified selections, but it cannot prove informed consent.

This lawsuit is unrelated to the fictional Certidox hearing. The decision does not establish that checkboxes were changed after signing. Certidox was not involved.

Frequently Asked Questions

Which party prevailed in the mock hearing?

ApexGrid prevailed on the evidentiary question. The Neutral found the certified A+B election reliably established and the alleged later C+D election insufficiently proven. This was an unsigned fictional determination, not a court ruling or finding of fraud.

Why can two additional checkboxes matter?

In the simulated Order Form, selecting Options C and D would add $45,000 and $55,000 in annual fees, respectively, to the $100,000 certified A+B selection. The disputed copy shows $200,000 per year.

Does a signed contract prevent someone from changing a copy?

No. A signature or familiar document layout does not establish that every subsequent digital, printed, scanned or photocopied version matches the agreed text or selections.

Does scanning a Certidox QR code prove my copy is unchanged?

No. The QR code opens a certification record. Check the recorded certifier, certification date and current status, then open View document and compare every detail with the copy received.

Does an email without a Certidox QR code prove fraud?

Not by itself. If an organization automatically certifies all outbound emails with Certidox, however, the absence of an expected, verifiable certification is a serious warning that should prompt independent confirmation.

Can a contract be amended after an earlier version was certified?

Yes. Certification establishes a fixed reference at a particular time; it does not prevent the parties from validly agreeing to a later amendment. Such a later election must be evaluated on its own evidence.

What can an Independent Verification Bundle establish?

A bundle can support independent examination of historical content integrity and timestamp evidence. It is distinct from the live certification status, which must be checked through Certidox.

Did a real Neutral rule that fraud occurred?

No. This is a fictional mock hearing. The supplied page describes a proposed, unsigned and illustrative evidentiary determination that does not find fabrication, authorship or fraud.

Can printed copies be checked?

Yes, if the Certidox QR code remains readable. A recipient must compare the content of the printed or scanned copy with the certified reference before relying on it.
